Driver Privacy & Data Policy

1. Introduction

This Privacy & Data Policy (“Policy”) explains how YardHub (“we”, “us”, “the Platform”) collects, uses, stores, and shares personal data of drivers who create an account or use YardHub.

By creating an account, logging in, or continuing to use YardHub, you confirm that you have read this Policy and agree to the processing of your personal data as described here.

YardHub is a UK-based platform connecting professional drivers with recruiters and employers. We are committed to handling your data lawfully, fairly, and transparently under the UK GDPR and the Data Protection Act 2018.

2. Who we are

YardHub operates the website and services at yardhub.uk. For data protection purposes, YardHub is the data controller of the personal data you provide to us.

3. What data we collect

Depending on how you use the Platform, we may collect:

Account & identity

• Name, email address, phone number
• Password (stored securely in hashed form via our authentication provider)
• Profile photo (if you upload one)

Location & search

• Postcode and approximate location (used for job matching and distance)

CV & professional information

• Licences, expiry dates, CPC details
• Driving experience, employment history, preferred shifts, pay expectations
• Other information you enter in the CV Builder
• PDF CV files you choose to upload when applying

Application & activity data

• Jobs you view, save, or apply for
• Messages you send or receive on the Platform
• Quiz / assessment activity (if used)
• Device/browser information and basic usage logs needed for security and support

Technical data

• IP address, login times, and similar security logs (to prevent abuse and protect accounts)

We do not sell your personal data.

4. Why we use your data

Where we rely on consent (for example, certain optional profile visibility settings), you can withdraw it at any time without affecting processing that must continue for the service to work.

5. Sharing your data with recruiters

YardHub is built so that recruiters can find and contact drivers.

• If you apply for a job, the recruiter for that job receives the application details and the CV information needed to consider you.
• If you appear in driver search, recruiters on eligible plans may see profile information you have chosen to make available.
• You can use platform tools (where available) to limit visibility in driver search.
• Recruiters are independent organisations. Once data is shared with them for recruitment, they become responsible for how they handle it under their own obligations.

We expect recruiters to use your data only for genuine recruitment. Abuse can be reported to support@yardhub.uk.

6. How long we keep your data

• Account data — while your account is active
• Applications & messages — typically up to 24 months of inactivity, unless a longer period is required for legal reasons
• Security / abuse logs — for a limited period for fraud prevention and investigations
• Uploaded PDF CVs — while needed for applications you submitted, or until you delete them / close your account where technically possible

When you request account deletion, we will delete or anonymise personal data within 7 days, except where we must retain limited records for legal, security, or accounting reasons.

7. How we store and protect your data

• Data is stored using reputable cloud providers with appropriate security controls
• Access to personal data is restricted to authorised systems and personnel
• We use industry-standard measures (encryption in transit, access controls, monitoring)
• No method of transmission or storage is 100% secure; we work to reduce risk continuously

8. Your rights

Under UK data protection law, you may have the right to access, correct, erase, restrict or object to certain processing, receive a portable copy of data you provided, withdraw consent, and complain to the ICO at ico.org.uk.

Email support@yardhub.uk with the subject line “Driver data request”. We will respond within one month. Account deletion requests will normally be completed within 7 days of verification.

9. Cookies and similar technologies

We may use essential cookies and similar technologies to keep you logged in, secure the service, and understand basic usage. Where non-essential cookies are used, we will provide appropriate controls.

10. Children’s data

YardHub is for professional drivers. It is not intended for anyone under 18. We do not knowingly collect data from children.

11. Changes to this Policy

We may update this Policy from time to time. The “Last updated” date will change when we do. Continued use of YardHub after an update means you accept the revised Policy. Significant changes may require you to re-agree on login.

12. Agreement

2. You agree to YardHub processing your personal data as described above
3. You understand your data may be shared with recruiters when you apply for jobs or appear in driver search (subject to your visibility settings)
